How we handle your personal data
This page explains what personal data Pencil Glow Creations ("we") collects through the Erin website, why, and what you can ask us to do with it. We follow Singapore's Personal Data Protection Act 2012 (PDPA).
Who we are
Pencil Glow Creations (UEN 53472231L) runs this website and the Erin demo. Questions about your data go to our data protection contact at hello@pencilglow.com.
What we collect
- The demo call. When you tick the box and talk to Erin, we record the audio of the call and make a written transcript and a short summary. If you give a name, phone number or preferred appointment time during the call, those appear in the transcript and summary.
- Messages you send us. If you apply for the pilot by WhatsApp or email, we receive your name, number or email address and whatever you write.
- Basic technical data. Like any website, our hosting provider handles your IP address and browser details to deliver the page and keep it secure. Your browser also stores a small counter on your device to limit demo calls to two a day, and your light or dark theme choice. These never leave your device.
Please don't share real medical details, NRIC numbers or payment details in the demo. It is a sample clinic and nothing is booked.
Why we use it
- To run the demo call and show you how Erin works.
- To review demo calls so we can fix mistakes and improve Erin.
- To reply to your pilot application or question.
We don't sell your data, and we don't use it for advertising.
Who else handles it
Erin runs on a third-party voice AI service that processes the call audio on our behalf, and our website runs on a third-party hosting provider. They handle data only to provide their service to us. Some of these providers may store data outside Singapore. When that happens, we rely on their contractual commitments to protect it to a standard comparable to the PDPA.
How long we keep it
We keep demo call recordings, transcripts and summaries only for as long as we need them for the purposes above, and then delete them. We keep pilot enquiries for as long as we're in conversation with you about Erin.
Clinics using Erin
When a clinic uses Erin on its own phone line, the clinic decides how its patients' data is used, and we handle that data on the clinic's behalf under our agreement with them. Patients' details are only used to handle their calls and bookings, and are never used to train Erin.
Your choices
- You can simply not use the demo. Nothing is recorded unless you tick the box and start a call.
- You can ask to see the personal data we hold about you, correct it, or have your demo call deleted. Email hello@pencilglow.com and tell us roughly when you called. We'll reply within 30 days.
- You can withdraw your consent at any time by emailing us. We'll stop using your data and tell you what that means for any open enquiry.
Changes
If we change how we handle data, we'll update this page and the date at the top.
